Auto Refill Prescriptions on the Workbench

Prescriptions enrolled in the Auto Refill program, with a future fill activity scheduled display in the Data Entry queue for the day the fill is due. 

If these prescriptions are not processed on the day the fill is due, they continue to display in the Data Entry queue until they have been processed or removed from the queue.

When an Auto Refill prescription is scheduled in the Data Entry queue, it is important to look for the following.

Auto Refill Prescriptions Requiring User Intervention

Once a prescription is enrolled in the Auto Refill program, Propel Rx will attempt to adjudicate the prescription through any third parties and place the prescription in the proper workflow queue according to your Workflow preferences on the day that the prescription is due to be refilled.

Auto-processing is not applicable to British Columbia pharmacies. Auto Refill prescriptions will remain in the Data Entry queue for manual processing.

Once is enrolled in the Auto Refill program, Propel Rx will attempt to adjudicate the prescription through any third parties and place the prescription in the Packaging queue.

But, if intervention is required when processing an Auto Refill prescription through third parties, the Auto Refill prescription remains in the Data Entry queue with a Status of Queued.

No Refills Remaining

When an Auto Refill prescription has a future fill activity scheduled, but no refills remaining, it displays in the Data Entry queue of the Workbench with NOT in the Auth column.

These prescriptions require authorization from the prescriber. To learn more about generating authorization requests, see Generating Authorization Requests .

Automatic Removal from the Workbench

There are certain situations where Auto Refill prescriptions are automatically removed from the Workbench to prevent the refill from being processed.

The various conditions include:

  • Patient Status has been changed or modified:

    • From Active to Animal, Deceased, Hospitalized, Inactive, Obsolete, Out of Province, Pharmacy, or Doctor Office.

    • From Retail to Non-Retail.

  • The prescription has been:

    • Cancelled and removed from Profile.

    • Discontinued, inactivated, suspended, or transferred.

      When a prescription is suspended, the Auto Refill future fill on the Workbench is removed. If you enter a reactivation date at the time of suspending, the future fill is NOT re-inserted on the Workbench upon reactivation. Instead, the future fill is added once the prescription has been refilled after being reactivated.

  • The prescription has been removed from Auto Refill. For more information, see Removing Prescriptions from Auto Refill.

  • The patient has opted-out of the Auto Refill service. For more information, see Opting out of the Auto Refill program.

  • The Auto Refill service has been turned OFF for the pharmacy. For more information, see Configuring Propel Rx for Auto Refill.
